Skills and Competencies
  • 2-5 years of experience in office administration, facilities management, front desk operations, or administrative support within a corporate environment
  • Strong organizational and prioritization skills, with the ability to manage multiple activities simultaneously while maintaining attention to detail
  • Excellent interpersonal and communication skills, with the ability to provide a professional and welcoming experience for employees, clients, visitors, and external partners
  • Proficiency in Microsoft Office applications, including Outlook, Teams, Word, Excel, and PowerPoint, to support daily administrative and operational activities
  • Fluency in Swedish and strong business English communication skills, both written and verbal, to effectively support local and international stakeholders
  • Team-oriented mindset with the flexibility to adapt to changing business priorities and provide backup support across administrative functions as needed
  • Basic understanding of artificial intelligence concepts, with curiosity and enthusiasm for learning how AI tools can be used to improve processes and drive efficiency. Interest in exploring AI systems and a willingness to develop awareness of responsible AI practices, including risk management and ethical use.
Education
  • Bachelor's degree, vocational qualification, or equivalent professional experience in Business Administration, Office Administration, Hospitality Management, Facilities Management, or a related field preferred
  • Relevant administrative or facilities management certifications are considered advantageous
Responsibilities
Deliver professional office administration, workplace operations, facilities coordination, and front desk support to ensure an efficient, welcoming, and well-managed office environment.
  • Coordinate day-to-day workplace operations, ensuring office facilities, meeting rooms, common areas, kitchen facilities, equipment, and workplace services are maintained to a high standard
  • Act as a key liaison between employees, management, building management, vendors, security providers, real estate partners, and technology support teams to resolve office-related matters efficiently
  • Manage front desk activities, including visitor reception, access coordination, courier services, telephone inquiries, and support for internal and external office guests
  • Coordinate meetings and events by arranging room bookings, visitor access, refreshments, materials, conferencing facilities, and other logistical requirements
  • Support workplace health, safety, and well-being initiatives by collaborating with local management to maintain a safe and productive office environment
  • Assist with travel arrangements, including transportation, accommodation, registrations, and related logistics while ensuring compliance with company policies and cost-conscious decision making
  • Prepare and process travel and expense documentation accurately and in a timely manner, ensuring compliance with internal policies and documentation requirements
  • Support accounts payable administration through the preparation and submission of payment requests and related supporting documentation
  • Provide business continuity and backup support for administrative functions during periods of absence or increased workload
  • Support with calendar management and related personal assistant support
  • Contribute to special projects and perform additional administrative responsibilities as required to support business operations
