Skills and Competencies Required
- Fluent in English, Spanish and Portuguese and strong business English communication skills, both written and verbal, to effectively support local and international stakeholders
- Proficiency in Concur
- Experience in office administration and facilities management
- Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, track processes, identify problems and solutions proactively
- High level of motivation and persistence
- Excellent interpersonal and communication skills with the ability to build trusted relationships and work collaboratively with executives, stakeholders, and cross-functional teams; ability to coordinate activities across multiple countries, cultures, and business units, ensuring alignment among local and regional stakeholders
- Demonstrated ability to handle confidential information with professionalism, discretion, ownership, and a proactive, service-oriented approach
- Proficiency in Microsoft Office applications, including Outlook, Teams, Word, Excel, and PowerPoint, to support daily administrative and operational activities
- Basic understanding of artificial intelligence concepts, with curiosity and enthusiasm for learning how AI tools can be used to improve processes and drive efficiency. Interest in exploring AI systems and a willingness to develop awareness of responsible AI practices, including risk management and ethical use
Education
- Bachelor's degree in Business Administration, Office Management or a related field; equivalent professional experience will be considered
Responsibilities
- Process purchase requisitions, invoices and accounts payable documentation accurately and in a timely manner, using the correct approvals and supporting records
- Prepare and process travel and expense documentation accurately and in a timely manner, ensuring compliance with internal policies and documentation requirements
- Support onboarding and offboarding activities for new and departing employees, including workspace preparation, access coordination and follow-up documentation
- Coordinate meetings and events by arranging room bookings, visitor access, refreshments, materials, conferencing facilities, and other logistical requirements
- Manage office supplies, stationery and pantry inventories, placing orders as needed to maintain appropriate service levels
- Support other departments including Sales, Finance, Human Resources, Marketing, IT and Legal with a team-oriented mindset and the flexibility to adapt to changing business priorities and provide backup support across administrative functions as needed
- Contribute to special projects and perform additional administrative responsibilities as required to support business operations
