Skills and Competencies
- 5+ years of experience providing administrative, executive support, or office coordination services within a corporate, banking, or financial services environment
- Strong organizational and time management skills, with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
- Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, to prepare correspondence, presentations, schedules, and reports
- Excellent verbal and written communication skills in both English and Chinese (including Cantonese and Mandarin), with the ability to interact professionally with internal and external stakeholders
- Ability to manage competing priorities, adapt to changing business needs, and maintain attention to detail
- Demonstrated initiative, learning agility, and a proactive approach to problem solving and process improvement
- Strong collaboration and relationship-building skills, with a service-oriented mindset and commitment to teamwork
- Basic understanding of artificial intelligence concepts, with curiosity and enthusiasm for learning how AI tools can be used to improve processes and drive efficiency. Interest in exploring AI systems and a willingness to develop awareness of responsible AI practices, including risk management and ethical use
Education
- Bachelor's degree or equivalent undergraduate qualification required
Responsibilities
- Provide administrative, operational, and team support to leaders and analytical teams, helping to ensure efficient day-to-day operations and effective coordination.
- Manage complex calendars, meetings, and executive schedules, including coordinating appointments, arranging meeting facilities, managing logistics, and supporting internal and external engagements.
- Prepare presentations, reports, meeting materials, briefing documents, and other business correspondence to support team activities, management meetings, and strategic initiatives.
- Coordinate team events, conferences, training sessions, and other internal and external engagements, ensuring seamless execution and follow-up.
- Arrange domestic and international travel, process travel and entertainment expenses, and support invoice processing and accounts payable activities in accordance with company policies and procedures.
- Facilitate communication and collaboration across analytical teams, corporate functions, and external stakeholders, helping to ensure timely information sharing and effective execution of business priorities.
- Support department administration through the maintenance of team records, distribution lists, organizational charts, onboarding materials, and other operational documentation.
- Act as a key liaison with internal support functions, vendors, and building management to address administrative, technology, facilities, and office-management requirements.
- Assist with onboarding and offboarding activities, including coordination of system access, workspace setup, equipment requests, and related administrative processes.
- Provide administrative backup coverage during periods of absence to ensure continuity of support and operations.
- Exercise sound judgment, discretion, and confidentiality when handling sensitive information, executive communications, and organizational matters.
