Skills and Competencies

  • Strong organizational and multitasking skills to manage complex calendars, travel arrangements, and meeting logistics.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams, Zoom, Trello, Miro, and CoPilot.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Excellent written and verbal communication skills for professional interactions across all levels.
  • Strong emotional intelligence, judgment, and attention to detail.
  • Preferred: Familiarity with GEN AI tools and openness to learning and applying them in daily tasks.

 

 

Education

  • High school diploma or equivalent required.
  • Associates or Bachelors degree preferred.

 

 

Responsibilities

Provide high-level administrative support to senior leadership, ensuring operational efficiency and professional coordination across teams.

  • Manage calendars for senior leaders including the Chief of Staff and VP Strategic Planning, coordinating meetings, interviews, and appointments with internal and external stakeholders.
  • Arrange domestic and international travel, including air, rail, hotel, and conference registrations, ensuring efficiency and adherence to policy.
  • Process travel and expense reports accurately and timely.
  • Support onboarding of new associates, including technology setup and policy briefings.
  • Coordinate department-wide events such as off-sites, receptions, and group meetings, managing logistics and budgets.
  • Take meeting notes, identify action items, and prepare summaries for distribution.
  • Review and improve administrative processes, establish service protocols, and support continuity during team absences.
  • Prepare presentation materials and reports for executive meetings.
  • Collaborate with internal departments and external stakeholders to ensure seamless communication.
  • Work independently with minimal supervision, demonstrating initiative and adaptability.

 

 

About the team

The Senior Administrative Assistant will be a key member of the Operations & Controls team, supporting the Chief Administrative Officer (CAO) group and its senior leadership team in the Charlotte office. This team plays a pivotal role in driving operational excellence, strategic planning, and cross-functional coordination across Moody’s.


You will work closely with executive leaders and their direct reports, providing proactive administrative support that ensures seamless execution of departmental priorities. The team values collaboration, adaptability, and a service-oriented mindset, especially during high-volume periods and leadership absences. You’ll also contribute to department-wide initiatives such as onboarding, policy communication, and event planning, and help establish and refine administrative protocols to improve efficiency and service standards.

 

For US-based roles only: the anticipated hiring base salary range for this position is $67,800.00 - $98,400.00, depending on factors such as experience, education, level, skills, and location. This range is based on a full-time position. In addition to base salary, this role is eligible for incentive compensation.
