Job Summary: We are seeking a highly motivated and technologically adept Administrative Assistant to join our team. This role is pivotal in supporting our corporate finance department by providing all aspects of administrative support and leveraging advanced tools to streamline operations, manage workflow, and contribute to strategic initiatives. The ideal candidate will be proactive, detail-oriented, and possess a strong ability to adapt to evolving technological advancements.
Qualifications:
- Proven experience as an Administrative Assistant or in a similar role with a strong track record of supporting large teams.
- Proficiency in using AI and other IT tools such as Microsoft Office Suite, SharePoint, and Gen AI to automate routine tasks and deliver efficiencies.
- Strong analytical skills with the ability to interpret data insights and provide strategic recommendations.
- Excellent organizational and time-management skills.
- Strong communication skills and the ability to train and support team members.
- Self-starter with a proactive approach to completing tasks. Commitment to continuous learning and self-development
- Experience in managing workflow and coordinating tasks across an organization
Education:
- Bachelor's Degree with focus in business administration, management or coordination could be helpful.
- MS Technology including Gen AI / Copilot classes and certifications could be helpful.
Key Responsibilities:
- Workflow Management: Oversee the daily operations for the manager and team; managing and controlling workflow, prioritizing tasks, and ensuring efficient communication and coordination within the team.
- Strategic Support: Transition from traditional task execution to providing strategic support by leveraging AI and other advanced tools to provide full suite of administrative support and deliver results.
- Value-Added Tasks: Utilize IT tools to automate routine tasks such as data entry, scheduling, and filing, allowing focus on more complex and value-adding tasks.
- Process Improvement: Identify and implement process improvement solutions, coordinating logistics for events, and supporting strategic initiatives.
- Enhanced Skill Set: Stay updated with emerging technologies and develop proficiency in new analytical and reporting platforms. Foster a culture of continuous learning
- Communication Liaison: Serve as a key point of contact between the manager, the team and other departments, facilitating clear and effective communication.
- Project Coordination: Assist in the planning and execution of projects, ensuring that all team members are aligned and working towards common goals.

For US-based roles only: the anticipated hiring base salary range for this position is [[$64,000.00 - [[$94,250.00, depending on factors such as experience, education, level, skills, and location. This range is based on a full-time position. In addition to base salary, this role is eligible for incentive compensation.
