Skills and Competencies
- 3-5 years of experience in a corporate administrative support role.
- Proficiency in Microsoft Office Suite with the following capabilities:
- Outlook: Ability to create and modify appointments and recurring meetings using the calendar planner; familiarity with labels and private appointments; ability to compose, send, and forward emails, perform email blasts, and manage inboxes using folders, sort, and search functions.
- Word: Ability to create and modify documents using headers/footers, pagination, tables, mail merges, hyperlinks, and other formatting tools.
- Excel: Ability to use advanced functions and formulas to build workbooks, pivot tables, charts, and graphs.
- PowerPoint: Ability to create and enhance presentations using animations, transitions, and by inserting charts, graphs, and embedded objects; ability to merge presentations.
- Strong organizational and multitasking skills with the ability to adapt to shifting priorities.
- Excellent interpersonal, verbal, and written communication skills.
- Ability to work independently and collaboratively within a team.
- Strong attention to detail and ability to manage confidential information.
Education
- High school diploma or equivalent required; additional administrative training or certification preferred.
Responsibilities
- Provide comprehensive administrative and secretarial support to team members and ensure continuity of operations during absences
- Deliver general administrative support including phone coverage, document preparation, filing, and presentation formatting.
- Coordinate internal and external meetings, including scheduling, room booking, guest access, and materials preparation.
- Arrange domestic and international travel and process timely and accurate travel and entertainment expense reports.
- Submit and track accounts payable vouchers with proper documentation and coding.
- Support department-wide initiatives such as onboarding new hires and organizing team events.
- Maintain office supplies and liaise with facilities and IT to resolve operational issues.
- Prepare professional correspondence and assist with internal communications.
- Provide backup support to other administrative staff during absences to ensure seamless operations.
- Take on additional responsibilities and tasks as assigned.
