Job Description

The Role

The Human Resources Associate (HRA) will be responsible for providing support to the Talent Acquisition team in EMEA specifically as it relates to the facilitation of the interview process.

This position is a key client service role responsible for partnering directly with all recruiters, internal and external clients in a professional, diligent and courteous manner. The HRA will primarily ensure the timely and accurate scheduling and coordination of all candidates interviewing for positions within Moody’s. This role is also responsible for handling and directing calls from both internal and external clients related to recruitment and ensuring that candidates and managers have a smooth interview process. The HRA also supports any general administration requirements for the Talent Acquisition team and participates on special projects and audits and ensures compliance with company and employment policies regarding hiring practices.

Recruitment Support & Scheduling

•Schedule high volume of interviews across EMEA with candidates and hiring managers / interviewers as directed by recruiters
•Co-ordinate interview process and communicate interview details to candidates and interviewers, making certain they have all of the information necessary and ensuring awareness of different time zones
•Arrange Room bookings, Videoconferences and WebEx pending on requests
•Following up with hiring managers and interviewers to ensure that Candidate Evaluation Forms have been completed and saved and consolidate and prepare for recruiters to review with the HM
•Upload new positions to our ATS (Applicant Tracking System) & co-ordinate internal and external job postings
•Coordinating any travel requirements that relate to the interview process, including managing diaries and itineraries and coordinating escorting the candidate to each meeting location if required
•Ensure that all communication with internal and external applicants is professional
•Ensures that all internal / external visitors and candidates are greeted and directed in a professional courteous and timely manner
•Develop strong relationships with other departments, associates to allow for the leveraging of support when issues need to be resolved
•Ensure that all work assignments are completed on time based on service level agreements and accurately
•Process candidate expenses for payment and vendor invoices for payment with Accounts Payable team
•Update candidate status on ATS system Kenexa 2xBrassring
•Responsible for providing a comprehensive support to projects such as Graduate Recruitment that involves the organization of events and assessment days, university outreach, liaising with internal and external stakeholders)
•Handle the administration of tests
•Perform basic reporting and communicate updates to the Talent Acquisition team
•Support recruiters with screening of candidate responses, telephoning screening where possible and upload notes on ATS
•Take initiative to connect with candidates post positive feedback to gather availability for further interview rounds
•Work proactively with HR connect to support recruiters in the confirming start dates and completion of all onboarding forms – relaying issues that may arise to recruiters
•Suggest and recommends process improvements Work with team members to develop creative solutions to workflow issues

Qualifications

Qualifications
Bachelor’s degree or equivalent experience
Proven very strong administrative experience
Ability to provide the highest level of customer service to all levels of internal and external customers
Able to demonstrate extensive administration experience, ideally having supported a team including significant involvement in Talent Acquisition administration would be preferred Technical Microsoft Office, including intermediate Excel with the ability to learn additional programs as needed
Experience with HRIS systems and experience with Applicant Tracking Software (ATS), would be advantageous Non-technical skills
Strong attention to detail and ability to work to tight deadlines
Highly organised and efficient and the ability of handling multiple demands and deadlines and interview requests within different time zones
Excellent interpersonal and strong written and verbal communication skills
Ability to build strong relationships with internal and external stakeholders
Strong team player Work using own initiative and without close supervision
Demonstrates appropriate confidentiality at all times when working with sensitive information
