The Role / Responsibilities:
The purpose of the job is to provide administrative support to members of the organisation and provide backup, as needed.
  • General Administrative Support
Provide general secretarial support to the Head of Sales and the Sales Team, including expense report, travel coordination, diary management, power-point presentation preparation, mail distribution, copying, e-filing, spreadsheet work.
Acquire and maintain a good understanding of Moody’s business, and particular business line being supported, in order to provide optimal customer service.
  • Expenses
Timely and accurate preparation and submission of T&E reports for each team member supported, ensuring that company policies have been followed and that proper and organised documentation is provided to support the report.
  • Travel & Entertainment
Assist in arranging travel for team members including visa application, air, rail, car service and hotel and conference registrations taking care to be mindful of deadlines.
Ensure that the most economical options are taken advantage of and all bookings are compliant with our T&E policies and guidelines.
  • Diary Management
Coordinate meetings, calls, webex and appointments of several stakeholders, taking into account global time zone differences, as well as participants seniority.
  • Meeting Co-ordination
Assist in process meeting requests including setting up appointments, reserving conference rooms, requesting security passes for guests, arranging for teleconference numbers, refreshments and hand-outs.
  • Presentation printouts
Prepare/modify PowerPoint presentations for the Sales & Management teams (including printing & binding).
  • Administrative Back-Up
During vacations and times of absence, provide back-up in order to ensure uninterrupted flow of operations with regard to support staff, technology and all office issues. Act as a backup support to the EA to the CEO and management team.

Qualifications:
  • A-levels or graduate, or professional experience
Skills:
  • Fluency in English is essential.
  • Proven relevant secretarial experience
  • Familiarity with booking travel, diary management, calculating and processing expense
  • Intermediate IT skills including Outlook email and calendar, Word, Excel and PowerPoint
    • MS Outlook: Ability to create and modify appointments using the planner; in email, the ability to create, send and forward email
    • Basic Word: ability to create and modify basic communications
    • Intermediate Excel ability to create and modify spreadsheets
    • Intermediate PowerPoint ability to create and modify presentations
  • Ability to work using own initiative and without close supervision
  • Dairy management experience
  • Experience in either Marketing or Event management is advantageous
  • Excellent communication, organisational and administrative skills
  • Ability to multi-task and adapt to shifting priorities
  • Strong orientation toward teamwork
