Skills and Competencies
- Strong verbal and written communication skills to clearly convey complex information and draft documents needing minimal editing
- Proficient in Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and SharePoint, with knowledge of collaborative tools. Experience with Nasdaq BoardVantage is beneficial, and training can be provided if required
- Detail-oriented and organized with strong time management, multitasking, and adaptability to shifting priorities
- Ability to identify alternative solutions, anticipate requirements, and take proactive steps to address them
- Skilled in handling sensitive and confidential data and information
- Demonstrated expertise in managing processes and procedures with administrative proficiency
- Previous experience in financial services or professional services environments preferred
- Basic understanding of artificial intelligence concepts, with curiosity and enthusiasm for learning how AI tools can be used to improve processes and drive efficiency. Interest in exploring AI systems and a willingness to develop awareness of responsible AI practices, including risk management and ethical use
Education
- Professional certifications in administration, project management, or finance are an asset
Responsibilities
- Provide critical departmental administrative support to optimize legal operations to help achieve business goals
- Aid members of the Legal team by supporting the preparation of materials for meetings, presentations and organizing team events
- Provide administrative support to the Legal team in coordination with other team administrators, including travel and expenses, while providing back-up assistance as needed to the Senior Leadership Team
- Assist MCO Directors with scheduling, travel, and expense reimbursements
- Support MCO board meetings by posting and archiving meeting materials, distributing itineraries, through a web portal, and tracking meeting attendance
- Support the onboarding processes for new hires and internal transfers, including organizing the requisite office space, IT equipment and software
- Ensure key documents, such policies and procedures, are uploaded and maintained on systems used by the team
