Skills and Qualifications

  • 4+ years of experience in administrative roles with progressively increasing responsibility
  • Proven experience supporting senior executives or leadership teams
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Hands-on experience with scheduling and collaboration tools (MS Outlook Calendar, SharePoint, Miro)
  • Experience with expense and travel booking systems (Concur, Egencia)
  • Excellent written and verbal communication skills, with the ability to interact effectively with diverse stakeholders
  • Strong attention to detail with the ability to multitask in a fast-paced environment
  • Demonstrated ability to manage complex calendars and prioritize competing demands efficiently
  • Proactive mindset with the ability to anticipate needs and resolve issues independently
  • Strong analytical and problem-solving skills to handle complex situations
  • High level of professionalism, discretion, and confidentiality when handling sensitive information
  • Basic understanding of artificial intelligence concepts, with curiosity and enthusiasm for learning how AI tools can be used to improve processes and drive efficiency. Interest in exploring AI systems and a willingness to develop awareness of responsible AI practices, including risk management and ethical us

Education

  • A degree in business administration, communications, or a related field is preferred but not necessary.

Responsibilities

  • Manage complex executive calendars, meetings, and travel with a focus on efficiency and prioritization
  • Act as a primary liaison between leaders and internal/external stakeholders; support leadership communications and presentations
  • Coordinate meetings end‑to‑end, including agendas, minutes, follow‑ups, and logistics
  • Provide administrative and analytical support on projects; partner cross‑functionally to meet timelines
  • Maintain confidential records and documentation in line with data protection standards
  • Support office operations, including supplies, vendor coordination, and day‑to‑day administrative needs
  • Assist with budget tracking, expense management, invoices, and reimbursements
